How to handle jobs which don't go straight from A to B

What is Multi-Leg?

Multi-Leg is a new feature which allows transporters to load a job with multiple legs, this would be for a scenario where an item is picked up and transported to an intermediate destination such as a stock yard or depot and unloaded before it is loaded again and transported to the destination.

The new Multi-Leg feature also has additional features which have been developed in conjunction.

How do I use Multi-Leg?

Once enabled, when you add jobs, you'll notice a blue truck icon, clicking this will add a leg to the job. The first line becomes the invoicing line, and the additional lines are the job activities. The individual Job activities are sent to the drivers app.

Calendar View - Day Planner

The Calendar view is a vehicle utilisation visualisation tool that enables busy dispatchers to see if their vehicles aren’t being used, and therefore under-utilised. Providing a day planner will allow users to see where there are opportunities to earn more income per vehicle.

Assignable Driver

You can assign a job to a driver and a vehicle. To enable the Driver selector you need to go to Account > Settings > Display Options > Show Driver

If you leave the driver unassigned, and assign the job to a vehicle only. All drivers who are linked to that specific vehicle will see the job in their driver app. When a driver accepts the job, this will then update the Driver field on the job to their name.

From the daysheet you will be able to see at a glance, who accepted the job.

If the job has been accepted by the wrong driver, simply Unassign the driver and the job will go back to "Ready to accept" and be available for all Drivers that have that vehicle assigned to them to accept.

What will the drivers see?

When you add a job line in MyTrucking, it will be sent to the mobile app as individual job activities. This means that each job line will appear as a separate task on the mobile app, making it easier for drivers or operators to see and manage their tasks.

It is compulsory to have the Job Origin in an activity Leg Origin and the Job Destination in an activity Leg Destination.
Double clicking adds the Origin or Destination to the leg.

The leg which contains the Job Destination, will be considered the "Delivery Leg", so the Vehicle used on that leg will be used for Income reporting and tracking codes passed to the accounting package when invoicing.

Activity Dates

If you have jobs with legs across multiple days, you can enable activity dates in your settings.

To do this:

Go to Account > General Settings > Scroll down to Display Options and tick Activity Dates

Cost Rate & Cost Total

Let us know if you want the Cost Rate fields turned on. This is a beta feature at the moment and once it is fully released there may be an additional charge for it.

These new fields can be used for working out the cost per vehicle, or for charging out to subcontractors.

The cost field works like the use last charge rate field and will remember the rate used last time for the same combination of:

  • Charge

  • Origin

  • Destination

  • Product

You can enter in your cost rate and then report on it using the new Cost by Vehicle report.

The cost rate is used for reporting purposes only and is not passed through to your accounting system.

The cost fields can be renamed by going to Account > Settings > Cost Fields

Daysheet

On the daysheet the individual job activities will show as separate lines. From here you'll see when the driver has accepted their leg of the job and completed it.

Marking Jobs as Done

You can mark a job as done from the daysheet by ticking the activity line. When you mark a job as done from within the job, you can choose to mark the individual activities as done, or the entire job.

Driver returned data

The Driver returned information can be hidden or displayed by clicking on the Mobile Phone icon.
The default setting for this is found under your profile options called "Expand Driver Returned Data".

Uploaded Jobs

Drivers now have the ability to see Uploaded Jobs on the mobile app.

This feature is useful for those times where a driver has forgotten to add an image or update data on the job. This feature can be turned on for some or all of your drivers.

Invoicing Pages

The invoicing page will show one line only, this is the invoicing line. The activities will not show individually on the invoicing pages.

Custom Reports

When filtering your custom report data, you can now multi select from the column headings. For example if you want to run a report on 2 products, you can click on the Product column heading and select multiple products to report on.

Due to the improved functionality with filters on Custom Reports, existing saved reports may need to be recreated and have the filters reselected.

Companies with two vehicles enabled

What happens to existing jobs with two vehicles assigned?

This is a two vehicle job.

During migration, a separate leg (referred to as an activity line) will be created for each vehicle. The intended process for new jobs is to enter the meeting point for the exchange of load.


The Pickup vehicle will deliver to the meeting point, and the Delivery vehicle will have the meeting point as the origin.
For existing jobs that have two different vehicles assigned, the meeting point will be the vehicle doing the other leg as follows:

This is how the job will look once migrated.

The second leg is the delivery leg, so the associated income is allocated to the vehicle assigned to this leg.

Note: This only occurs for jobs which are migrated.

Client and Location Attachments

Client and Location Attachments allows essential documents related to a location client to be uploaded to the client and viewed directly through the drivers app. This feature ensures that all drivers have the necessary information at their fingertips, helping them to complete their tasks successfully and safely.
