Switching to Xero: How to Set Up Your Integration

If you’ve recently moved to Xero, here’s how to connect MyTrucking and start posting invoices seamlessly.

We’ve designed the Xero integration to make it simple to get your jobs from MyTrucking into Xero.

Before You Start

Before we update your settings, make sure you’ve completed all invoicing up to the date you want to switch. Once that’s done:

  1. Contact us so we can update your account settings. It is a simple switch at our end.

  2. Once we give you the go ahead, go to General Settings → Xero Options.

  3. Click Authorise with Xero and enter your Xero credentials (you will need Advisor user role in Xero to do this step)

Four Key Areas to Understand

When setting up with Xero, these are the four main areas to check:

1. Client List

  • Any new clients entered in MyTrucking will automatically be added to Xero when you post invoices.

  • Clients added in Xero will not sync back to MyTrucking.

2. GL Sales Codes

  • Link your products in MyTrucking to the correct GL Sales Codes in Xero.

  • This ensures every job posts seamlessly with the right GL code.

3. Tracking Categories

  • Set up your vehicles as a Tracking Category in Xero.

  • This allows you to run Profit & Loss reports by vehicle.

4. Invoice Descriptions

  • MyTrucking automates invoice descriptions for each product.

  • You can view or edit these on your Products page.

  • The description will also appear on your Invoicing page before posting to Xero.

💡 Top Tip

You might hear about ITEM CODES in Xero, but MyTrucking uses GL Codes instead. ITEM CODES are typically for inventory control, which isn’t needed for transport operators using MyTrucking.
