How to set up XERO (GL) Codes in MyTrucking

In Xero, your Chart of Accounts is the list of all accounts used to record transactions for your organisation.

When you first start using Xero, a default Chart of Accounts is created for you. You can customise this at any time within Xero.

Using Account Codes in MyTrucking

To ensure invoice lines from MyTrucking are allocated to the correct accounts in Xero, MyTrucking allows you to assign an Account (GL) Code to each product.

Important:
For an account code to appear in MyTrucking, the Xero Account Type must be set to Revenue.

Step 1: Enable GL Codes on the Product Page

  1. Go to Account → General Settings

  2. Scroll to the Invoice Settings section

  3. Tick Show GL Codes on Product Page

  4. Click Save

Step 2: Fetch Your Xero Account Codes

Once GL Codes are enabled:

  1. Click Fetch Xero Codes

  2. This pulls your current list of Revenue account codes from Xero into MyTrucking

You’ll also see a Default Revenue Code setting.
This code will be used automatically if a product does not have a specific GL Code assigned.

Step 3: Assign GL Codes to Products

  1. Go to Account → Products

  2. With GL Codes enabled, you’ll now see a GL Code column

  3. Select the appropriate account code for each product using the dropdown

If no GL Code is selected for a product, MyTrucking will use the Default Revenue Code set in General Settings.

Assigning GL Codes When Creating a New Product

When adding a new product:

  • You can assign a GL Code directly during setup

  • The dropdown list will show the account codes previously fetched from Xero

Updating Account Codes from Xero

If you’ve recently created or changed an account code in Xero and it’s not appearing in MyTrucking:

  1. Go back to Account → General Settings

  2. Click Fetch Xero Codes again

  3. The product dropdown list will update with your latest Xero account codes

  4. If the account is not appearing, make sure it is set to a Revenue account in Xero
