MyTrucking has three highly configurable reference fields that can be used for a wide variety of purposes. 

One of the key purposes is to add job specific information into the Invoice Description that will be automatically generated and passed to your accounting program.

For the information to be added to your invoice description, the reference fields must be included in the template, either individually, or by including "AllReferenceFields". 

The reference fields are also used to pass information to the Mobile App and can be entered or updated by the Mobile App user.
The key difference between the reference fields and the "Notes" fields is that the reference fields can go on the invoice to the customer.  

Setting Up the Reference Fields

The first step is to turn on and set up the fields: 

  • Go to Account - General Settings and scroll down to the Reference Field section
  • Type the name (label) you would like to call your field(s)
  • Turn the field ON by ticking the "Use" checkbox 

The reference fields will now appear on every job. The information can be entered at any stage in the job workflow by either the dispatcher or Mobile App user. 

Mobile App and the Reference Fields 

You can configure which fields are sent to the Mobile App.
Typically all fields are sent, but if you wish to use a field for office use only, you can turn off showing the field on the App. This is also done on the Settings page.

What happens when both the Operator and Driver update Reference Fields?

Whatever the Operator (Dispatcher) enters into a reference field gets sent to the Mobile App and is displayed in the driver entry field.

If the Driver has entered information into the reference field on the Mobile App, the information entered by the dispatcher is displayed beneath the driver entry field.
This preserves whatever the driver has entered and allows the dispatcher to update the information as required.

The information in the driver entry field will be updated into the job reference field when the driver uploads (returns) the job.

The reference fields will be added to the invoice description as defined in your Invoice Description Template.
